How to Digitize Health & Safety Inspections Without Forms

Every week, thousands of health and safety officers walk plants, job sites, and warehouses carrying a notepad or, at best, an Excel sheet on their phone. They spot hazards, document unsafe conditions, take photos. Then, back at the office, they transcribe everything by hand. The problem isn't the information — it's the process.

Rigid forms were designed for a world where inspectors sit at a desk. In the field, that logic breaks down. A safety officer is walking, hands occupied, moving between zones every ten minutes. A 20-field form is an obstacle, not a tool. The result is predictable: incomplete records, delays closing incident reports, and findings lost in WhatsApp group chats.

Queiros works differently. Instead of forcing inspectors to fill in a form, it lets them send a voice note, a photo, or a text via WhatsApp — exactly as they already do to report issues. The AI processes the message and automatically generates a structured record: finding, area, risk category, status, and priority. No extra typing required.

The use cases are broad. Routine plant inspections: the officer does the walkthrough talking out loud, and Queiros turns each observation into a table row. Near-miss reports: the worker sends an audio note at the moment of the event, logged with all required fields. PPE checks: photo of the zone plus a text observation equals a record in seconds. Audits for regulators like the SRT, ART, or IRAM: the inspector works with a custom prompt that extracts exactly the fields each regulator requires.

Real example: a safety inspector walks through the painting area. They send an audio note: 'Missing emergency exit signage in corridor B, the fire extinguisher expires in March, one worker without a hard hat. High priority.' Queiros processes the message and generates three records — one per finding, each with its risk classification and priority level. The incident report is ready before the inspector reaches the next zone.

The result isn't just speed. It's real traceability. Every finding is logged with date, author, and context. Non-conformances can be tracked through to closure. Extinguisher expirations, PPE deadlines, and permit renewals surface as alerts before the deadline hits. And all of it comes from the same messages the inspector is already sending on WhatsApp.

If you work in health and safety and still use paper or spreadsheets for your inspections, the cost isn't just transcription time. It's the information that gets lost, the incomplete records that fail in an audit, and the findings that go unresolved because the process is too slow. Queiros doesn't change what you do. It changes what happens with what you report.
